Ask your booking platform for your client list

Fill in four boxes and copy a letter asking Fresha, Booksy, Treatwell or any other platform for a full export of your clients, appointments and payments. The UK GDPR wording is filled in for you.

Nothing you type leaves this page. The letter is built in your browser.

Your letter

Subject: Request for a full export of [your business name]'s client and booking data

Dear Fresha support team,

I own [your business name], which uses Fresha under the account registered to [the email address on your account]. Please send me a complete export of our business's data, as CSV or another common spreadsheet format, including:

- our client list: names, email addresses, phone numbers and client notes
- each client's marketing consent, where recorded
- past and future appointments: date, time, service, team member, price and status
- consultation or intake form answers, where we used them
- deposits, payments and refunds recorded against each appointment

We are the controller of our clients' personal data and Fresha processes it on our behalf. Please treat this as our documented instruction under Article 28(3)(a) of the UK GDPR, and note that we are ending our use of Fresha: under Article 28(3)(g), a processor must return the personal data to the controller at the end of the service when the controller asks.

If Fresha considers any of these records to be its own, for example clients who first found us through its marketplace, please tell me which records and why, rather than leaving them out of the export without explanation.

Please send the export by 3 November 2026, or let me know by then if you need longer and why.

Kind regards,
[your name]
[your business name]

Before you send it

  • Try the platform's own export first, and keep a copy somewhere safe.
  • Send the letter from the email address on your account, so they can check it is you.
  • Keep your old account open until the export arrives and you have checked it.
  • Look at future appointments separately. Deposits and saved cards do not move between payment providers.

This is a template, not legal advice. If a platform refuses, the ICO and your contract are the places to look next.

Questions

Do I own my salon’s client list?

In data protection terms, the business that decides why and how client details are used is the controller, and a booking platform that stores them for you is usually its processor. A processor acts on the controller’s instructions, which is what this letter relies on. Where a platform also runs a consumer marketplace, it may treat some client accounts as its own; the letter asks it to say which and why.

Is there a deadline for the platform to reply?

The UK GDPR does not set a fixed deadline for a processor returning data to a controller, so the letter asks for 14 days and for an explanation if more time is needed. Your contract with the platform may say more.

Should I export my data myself first?

Yes, if the platform offers an export in its settings. Use the letter for anything the built-in export leaves out, such as notes, consent records or appointment history.

Can I get my data out of Slotivo?

Yes. A business owner can download their client list and every booking as CSV files from the Customers page at any time, without asking us.
