SMS: Fast, Read Quickly, Best for Time-Sensitive Alerts
Text messages are typically read within minutes of arriving, which makes SMS the stronger channel for anything time-sensitive — a reminder the morning of an appointment, or a waitlist alert that a slot has just opened up and needs a fast response. The tradeoff is length: SMS works best as a short, direct message rather than a detailed one.
Email: Better for Detail, Confirmations and Records
Email is better suited to anything a client might want to refer back to — a full booking confirmation with date, time, service and policy details, a receipt, or a link to reschedule. It's also generally cheaper to send at volume, which matters for businesses sending a high number of reminders each month.
A Sensible Default: Use Both, at Different Points
A common pattern that works well:
- Immediately after booking: an email confirmation with the full details and a reschedule link.
- 24–48 hours before: a reminder by email or SMS, giving enough notice for a genuine change of plan to be rescheduled rather than becoming a no-show.
- On the day, a few hours before: a short SMS reminder — the channel most likely to actually be seen in time.

Getting the Timing Window Right
A reminder sent too early is easy to forget again by the time the appointment arrives. One sent too late doesn't leave a client enough time to reschedule instead of no-showing, which defeats the purpose.
