Salon software pricing is difficult to compare because providers charge in different ways. One system may use a flat monthly subscription, another may charge for every bookable staff member, and a marketplace may charge when it introduces a new client.

The Five Costs to Include
1. Base subscription
Check whether the advertised amount is monthly or annual, whether VAT is included, and whether the price changes after a trial.
2. Staff or calendar charges
Per-seat pricing can be reasonable for a solo operator but becomes more expensive as the team grows. Calculate the cost using the number of people who need a bookable calendar, not only the number of account logins.
3. Marketplace acquisition fees
A marketplace may charge a percentage or fixed amount when a new client discovers the salon through its directory. This is different from a normal software subscription and should be treated as a marketing acquisition cost.
4. Payment processing and booking charges
Separate the card processor's fee from any fee charged by the booking platform. Ask whether the platform adds a percentage, a fixed booking charge, or a markup to payment processing.
5. Paid add-ons
SMS reminders, forms, marketing messages, additional locations, reports and support may sit outside the base plan. Price the features you will actually use rather than comparing incomplete starter plans.

Base subscription + staff charges + add-ons + booking fees + payment fees + marketplace acquisition fees.
Run the calculation for an ordinary month and a busy month. Percentage-based charges rise with revenue, while flat subscriptions are usually more predictable.

Imagine a four-person salon taking 300 bookings per month. Before choosing software, record:
- How many team members need their own calendar.
- How many bookings are paid online.
- How many genuinely new clients arrive through a marketplace.
- Whether SMS, forms, deposits or multiple rooms cost extra.
